Emergency Closing Information

For All School Closings, the District will notify parents in the following manner:
• A message will be sent as an email, phone call, and text. This includes notifications to parents/guardians, secondary level students, and emergency contacts.
• An announcement will appear on all District social media accounts (Facebook, Instagram)
• An alert message will appear on the District and all school websites

In the event the District needs to close school, there are two options available.

1. Traditional "Snow" Day 

• Schools are CLOSED for Students & Teachers
• District Buildings may be closed or operate on a delayed opening schedule



2. Flexible Instructional Days

The District continues to be approved by the Department of Education for up to five Flexible Instructional Days (FID).  Flexible Instructional Days may be used for various reasons including hazardous weather conditions or weather-related emergencies.  In the event of inclement weather, the District will make a determination to activate the use of a FID day.  If a FID day is activated, the District FID plan will be implemented and the following will occur: 

1. The District will move to an all virtual schedule (see below) 
2. The District will follow one consistent bell schedule for all K-12 students.
9:00 a.m.- School day begins (K-12)
12:00 noon-1:00 p.m.- Lunch (K-12)
3:15 p.m.- School day ends 
3. All morning sessions (9:00 a.m.-12:00 noon) will be synchronous.
4. All afternoon sessions (1:00 p.m.-3:15 p.m.) will be asynchronous.
5. Secondary will have an alternating bell schedule for each FID day utilized (see below).

Flexible Instructional Day Protocols

• All lesson material will be available in Canvas Learning Management System.
• Teachers will implement synchronous and asynchronous instruction via Teams and Canvas.
• Teachers will create and provide online instruction that mimics in-person instruction in that stretch/brain breaks, peer-to-peer interaction, and off-screen learning activities are important. Students do not need to be on their devices for the totality of the synchronous learning time.  
• 
We will proceed with any previously scheduled IEP/GIEP/504 meetings that are scheduled to be held virtually. Case managers should offer to change in-person meetings to virtual and, if necessary, offer to reschedule.
• 
If directed by central administration, and only if needed, select schools may be open and available to provide internet access to students and staff that do not have home access.
• 
If directed by central administration, and only if needed, library space may be made available for students to work, if required, and accompanied by a parent/guardian (K-6).
• 
In the event of a widespread power outage, the District will call a traditional “snow day.”

TCHS Pickering Students

Students who attend TCHS Pickering should follow the schedules below:
  • If PASD is operating on a TWO-HOUR DELAY, AM TCHS students will not attend TCHS Pickering. If they are using district transportation, they will remain in the cafeteria for Periods 1-3. Otherwise, they may arrive to school prior to the start of Period 4.
  • If PASD utilizes a FLEXIBLE INSTRUCTION DAY or a SNOW DAY, and TCHS remains open, TCHS students are not required to attend TCHS due to the inclement weather, however, they SHOULD follow the PASD Flexible Instruction Day schedule.
  • Any other schedule changes will be communicated directly to TCHS students by the building principal.

Flexible Instructional Day Role Responsibilities

Student Responsibilities 
• All students should have their Canvas login information. 
• Students should have their District and/or personal laptop at home. 
• Be prepared for classwork for the day. 
• Actively engage in class discussions. 
• Designated buildings may be open for student connectivity if needed. Students may work in designated areas. K-6 students must be accompanied by a parent/guardian. 
• All students must adhere to the Acceptable Use Policy. 
• Complete assignments as assigned within the specific time allotment. 
• Attend scheduled synchronous sessions. 
• Complete assigned work via Canvas modules. 
• Notify teachers in the event they are unable to complete work for any reason.
Parent Responsibilities 
• Notify District of technological needs (computer and/or hot spot) at start of year. 
• Ensure that student is in attendance for synchronous sessions.
•  Communicate any barriers, temporary or long-term, to teachers that would prevent a student from completing any work.
• Contact School Counselor or Home & School Liaison of any technological related concerns/issues. 
• Ensure student completes any assigned asynchronous work via Canvas. 

Traditional Weather-Related Closing/Power Outage Closing Procedures

In the event that the District elects NOT to use a Flexible Instructional Day (FID) due to extenuating circumstances such as widespread power outages, etc., the following District closure plan will be activated by 6:00 am: 

• A message will be sent through Parent Square as an email, phone call, and text. This includes notifications to parents/guardians, secondary level students, and emergency contacts.
• An announcement will appear on all District social media accounts (Facebook, Instagram)
• An alert message will appear on the district and all school websites

Notification Procedure

It is essential that we have updated email and phone numbers (home/work/cell) throughout the year. We use this contact information to alert families of closures, delays, and/or early dismissals. While this is often the case for weather related closures, there may be other occasions in which the school needs to close early (ex: loss of heat, electricity, water, etc.) We rely heavily on updated contact information to ensure that we can contact parents quickly and efficiently to notify families of any changes in schedule.

It is district practice to notify parents/guardians, secondary level students, AND emergency contacts in the case of any emergency school closure. This includes weather-related closures and delays. Please notify your chosen emergency contacts that they may receive notifications. If you need to change your emergency contacts, please contact the building secretary in your student's school.

Additionally, please follow up with any after school care providers regarding their plans for opening and closing in inclement weather.
