Emergency Closing Information

Notification Procedure

For all school closings and delays, the District will notify families in the following manner:

• A message will be sent through Parent Square as an email, phone call, and text. This includes notifications to parents/guardians, secondary level students, and emergency contacts.
• An announcement will appear on all District social media accounts (Facebook, Instagram)
• An alert message will appear on the district and all school websites

Please keep your email addresses and phone numbers (home, work, and cell) updated throughout the year, as we use this information to quickly notify parents/guardians, secondary-level students, and emergency contacts of school closures, delays, early dismissals, and other emergency situations. Notifications are sent to parents/guardians, secondary level students, AND emergency contacts for events such as weather-related closures or other emergencies. Please inform your emergency contacts that they may receive these notifications. If you need to change your emergency contacts, please contact the building secretary in your student's school.

Additionally, please follow up with any after school care providers regarding their plans for opening and closing in inclement weather.

Pushed Pin.png2. Flexible Instructional Days (FID)

The District is approved by the Department of Education for up to five Flexible Instructional Days (FID).  Flexible Instructional Days may be used for various reasons including hazardous weather conditions or weather-related emergencies. In the event of inclement weather, the District will make a determination to activate the use of a FID day.  If a FID day is activated, the District FID plan will be implemented.
FID Protocols

• All lesson material will be available in Canvas Learning Management System.
• Teachers will implement synchronous and asynchronous instruction via Teams and Canvas.
• Teachers will create and provide online instruction that mimics in-person instruction in that stretch/brain breaks, peer-to-peer interaction, and off-screen learning activities are important. 
• If directed by central administration, and only if needed, select schools may be open and available to provide internet access to students and staff that do not have home access.
• If directed by central administration, and only if needed, library space may be made available for students to work, if required, and accompanied by a parent/guardian (K-6).

FID Attendance Procedures 

The district will use both synchronous participation and asynchronous work completion to verify attendance.

Tracking Attendance and Participation 
Teachers will document participation through any of the following: 
• Participation in live synchronous sessions (e.g., logging in, responding, engaging in discussion)  
• Submission of assignments through the Canvas on the FID  
• Completion of engagement checks (e.g., exit tickets, discussion posts, formative assessments)  

Teachers will maintain records of attendance and participation in the student information 

Asynchronous Participation Expectations 
• Assignments must be submitted on the FID or immediately upon return to school, per district guidelines  
• Tasks will include time-stamped submissions and checks for understanding to verify participation  

Non-Participation and Absences 
• Students who do not participate in synchronous or asynchronous learning will be marked absent  
• Absences will be coded as excused or unexcused per district policy  
• Follow-up will occur to address barriers and provide make-up opportunities  

This structure ensures accurate attendance tracking and meaningful student engagement during each Flexible Instructional Day. 


FID Structure and Schedules
Primary (Grades K-1)

• One live (synchronous) session with the teacher (25 minutes): 9:00–9:25 AM  
• Asynchronous learning activities for the remainder of the day may include:  
• Independent reading with a related writing task  
• Independent math practice  
• Inquiry or investigation activities  
• Movement or wellness activities  
• Art, writing, handwriting, or typing practice  

All activities will be developmentally appropriate and differentiated based on individual student needs, including accommodations aligned to IEPs, 504 Plans, and English Learner (EL) plans. 

Elementary (Grades 2-6)

• Two live (synchronous) sessions:  
     »English Language Arts (25 minutes)  
     »Mathematics (25 minutes)  

•Asynchronous learning activities for the remainder of the day may include:  
     »Independent reading with a related writing task  
     »Independent math practice  
     »Inquiry or investigation activities  
     »Movement or wellness activities  
     »Art, writing, cursive, or typing practice  

Elementary teachers will be available via office hours to support students as needed from 1-3pm. 

All activities will be developmentally appropriate and differentiated based on individual student needs, including accommodations aligned to IEPs, 504 Plans, and EL plans. 

Secondary (Grades 7-12)

Students will follow a structured schedule that mirrors a typical school day in a modified format. 

• Students will attend a live (synchronous) session for each scheduled class (approximately 10 minutes each).  
• Each session will focus on:  
     »Check-ins  
     »Direct instruction  
     »Clarification of expectations  
     »Student support  
• Five-minute transitions are built between classes.  
• A 30-minute break is scheduled midway through the morning.  
• Asynchronous assignments will be completed independently following the conclusion of all morning sessions.

Students will use the remainder of the day to complete asynchronous assignments. Secondary teachers will be available via office hours to support students as needed from 1-3pm. 


FID Roles and Responsibilities

TCHS Pickering Students

Students who attend TCHS Pickering should follow the schedules below:

  • Two-Hour Delay - If PASD is operating on a two hour delay, AM TCHS students will not attend TCHS Pickering. If they are using district transportation, they will remain in the cafeteria for Periods 1-3. Otherwise, they may arrive to school prior to the start of Period 4.
  • Flexible Instruction Day (FID) or Closure - If PASD utilizes a FID or closes and TCHS remains open, TCHS students are not required to attend TCHS, however, they SHOULD follow the PASD Flexible Instruction Day schedule.
  • Any other schedule changes will be communicated directly to TCHS students by the building principal.

All Student Responsibilities 
• All students should have their Canvas login information. 
• Students should have their District and/or personal laptop at home. 
• Be prepared for classwork for the day. 
• Actively engage in class discussions. 
• All students must adhere to the Acceptable Use Policy. 
• Complete assignments as assigned within the specific time allotment. 
• Attend scheduled synchronous sessions. 
• Complete assigned work via Canvas modules. 
• Notify teachers in the event they are unable to complete work for any reason.
Parent Responsibilities 
• Notify District of technological needs (computer and/or hot spot) at start of year. 
• Ensure that student is in attendance for synchronous sessions.
•  Communicate any barriers, temporary or long-term, to teachers that would prevent a student from completing any work.
• Contact School Counselor or Home & School Liaison of any technological related concerns/issues. 
• Ensure student completes any assigned asynchronous work via Canvas.
